[Signing service] Develop the connection of the Decos Signing Service to ValidSign (digital signing) and Ondertekenen.nl
In the previous version we introduced the JOIN Signing Platform to which Zynyo was the first supplier of signing software. In this version we are further expanding the platform with the connections of Validsign and Ondertekenen.nl. This makes it possible to submit documents in JOIN for signature, after which the signed document is neatly stored in JOIN Case & Document. Some features of this solution:
It is possible to sign one or more documents (files)
You can sign from both a registration and a task
Per user can be set whether the user can submit signing requests (user right)
No complicated configuration of item profiles, a clear interface from which the signing request can be made
Specific functionalities per supplier, such as extra secure signing, copy holders and deed of signature

[Decision-making] Optionally make it possible to save the draft proposal PDF and the final decision PDF as separate files with the proposal
A (summary of the) proposal is often shared externally, for example in a council or council decision. Not all information contained in the proposal is then relevant (or desirable) to share externally. That is why we now make it possible to save 2 PDF files at the end of the decision-making process: the proposal and the decision. Since there is already functionality available to generate a separate PDF (with a different content and format) for the final decision, this allows creating an internal document and external document with the proposal.
In the JOIN Config Editor (you can find this on the application server of JOIN Case & Document) an option has been added “Save concept and final PDF as separate files in proposal”. This option is set to FALSE by default, change this to TRUE for the above result.
[Decision Making] Allow the approver to make edits to the proposal when configured in the approval route
From version 2020.1.628 it is possible for the approver (in the approval phase of the proposal) to make edits to the proposal. For example, if the director encounters a typing error in the last step of the proposal, this can be very useful. Because we record who makes which changes to the proposal (see later in these release notes for more detail), safety is of course guaranteed.
In JOIN Case types it is now possible to indicate per step in the approval route whether the relevant role may edit the proposal. Naturally, this has a 1 on 1 effect in JOIN Case & Document.
[Decision-making] Allow the consultant to make edits to the proposal, if the consultant permits
As of version 2020.1.628, the person requesting the advice (the draftsman of the proposal) can give advisers the opportunity to make adjustments to the proposal themselves.
To activate this function, you must set the setting “allow to edit proposal in feedback action” to TRUE in the config editor:
When the consultant invites colleagues to advise on the proposal, he now also has the option to allow edits. In the screen, the author can then tick the option “allow edits”. The adviser can then both comment (as he was used to) and implement edits in the proposal.
[Decision-making] Do not allow to link files to a proposal from JOIN Case & Document and JOIN Now
Attachments to a proposal always come from a document in JOIN. In order to prevent pollution in JOIN and documents without clear metadata ending up in the system, it is therefore not allowed to upload files directly to the proposal. For this reason, we have disabled all options in both JOIN and JOIN Now for this.
In JOIN, all functions (dragging, linking) are disabled for files in a decision-making document. The same applies to JOIN Now, here decision-making documents are no longer shown with the function “save in JOIN”.
[Decision Making] Allow to add images to paragraphs
With version 2020.1.628 we make it possible to add images (PNG, JPG) to a paragraph in a proposal. This was made impossible for security reasons, but it is now possible (safely) through adjustments in the software.
From the browser, for example, you can select (copy) a picture and paste it (right mouse button) into the proposal. The image will also be visible in the PDF.
[Decision Making] Do not allow 2 users to edit a proposal at the same time
With all the changes that have been made to the new version of JOIN Decision Making, it is now possible that several people want to make edits to the proposal at the same time. To prevent this, we have added extra functionality that always checks that only 1 person is allowed to work on the proposal at a time. And the moment someone has the proposal in progress, every other user will receive a message about it, so that it is also clear why the proposal cannot be edited at that moment.
When a proposal is being processed by a user, the proposal is “locked”. With this mechanism, we can freeze the proposal for everyone when it is in progress and release it when the operation is complete. The user who cannot edit is neatly shown on the screen that it is being edited by another user.
[Decision-making] Make sure that appendices cannot be changed even after the decision has been taken
When a decision has been taken and the proposal is thus completed, the “lock” is removed from the attachment and editing in the attachment is possible again. This may have implications for the proposal as the contents of the paragraphs and annexes together constitute the proposal. Some customers do not want attachments to be editable after the decision has been taken, other customers do. That is why an option has been added with which every organization can determine and set this itself.
This change does not require any changes to the JOIN Decision making configuration.

We believe the integrity of the decision-making module is of the utmost importance. Certainly with the extensions that we are introducing in this version (allow several people to make changes to the content of the proposal during the decision-making process), it is important to make insight into this even more transparent.
That is why from now on changes, which we already neatly saved in the audit function of JOIN Case & Document, also write and show them in the change history of the proposal.
This change does not require any changes to the JOIN Decision making configuration.
[JOIN Now] Allow to save (a mail with) multiple files in separate registrations
A few versions ago we made an important adjustment in JOIN Now, namely that it was no longer possible to create a separate registration for each attachment in an email. Partly because the functionality was very unclear to end users and partly because the functionality led to a lot of instability in the software. At the request of many customers, we have adapted the software in such a way that the function is now back in the software, is much clearer to the user and the stability of the software is not compromised.
If you want to save an email with attachments, you can now choose the following options:
To save a mail with its files separately, it is important to enable the option “save mail including files and files separately”. Only then will the option be available to create a separate registration for each file. In addition, it is important to mention that the above function only works if 1 mail is stored. The function is not available when saving multiple mails.
The function is available in both the regular JOIN Now version (the “client version”) and the new Office 365 version of JOIN Now (both in the Outlook desktop version and in Oulook Online. For more information, please contact your account manager.
The function is also available for JOIN Now explorer, with which it is possible to save one or more files from a network drive in JOIN Case & Document.
[Case] [Archiving] Recalculate the “start date retention period” of a case based on the “source date filing procedure” in the case type
In order to assign the correct archive term (and start date of the archive procedure) to a case, the so-called “source date archive procedure:” can be configured for each result. This is done by the administrator of the case type in JOIN Case types.

So what has changed? We have adapted the software so that the effective date of the filing process is not only calculated when the case is settled, but whenever something is changed in the case. Suppose that the lapsed interest is not yet known when the case is settled, then the commencement date was not entered afterwards. With the change in version 2020.1.628 this has changed. We always use the “exit permit” as an example. The importance of this permit only expires when the exit no longer exists. You cannot say in advance when that is. But if the exit is removed, the archive action can also start. That has now been arranged.
[Case types] Allow to link document types with their own item profile / metadata set
We have been able to realize a frequently recurring development wish of many customers with this version. After we already allowed item profiles (metadata sets) per document type in the JOIN Decision Making module, this is now extended to all document types. For example, you can set up a contract profile for a document type “contract” and set up another specific profile for the document type “zoning plan”.
By default, each “direction” in JOIN Case Types has a fixed item profile associated with it:

But from now on it is possible to cancel this fixed “link”. The consequence of this is that an item profile must always be selected for a document type.
In JOIN Case Types a new table has been added “metadata sets”. To this table you add additional values, 1 for each item profile that can be configured in JOIN.
If the table (see image above) contains extra values, a new field “metadata set” appears next to the document type. Here you can choose from the available values. When you then publish the document type (by publishing the linked case type, a new item profile is created in JOIN Admin that is linked to this document type. So for example the item profile “case document profile contract”. This profile can be configured completely according to your own insight and needs by the administrator of JOIN Admin.

JOIN Mobile has also been further expanded and improved, such as better filter options, creating separate tasks and a simpler way of assigning tasks to colleagues.
We have redesigned all filter functions so that filtering works the same in all places.
Obviously, the filter functions differ per section (for example, you cannot logically search for documents by items), but the functions for sorting, searching by date range or type are always the same.

From now on it is fully possible to create individual tasks in JOIN Mobile. This way you can create separate tasks in a case or a document and keep track of them. This way you know immediately which colleagues have completed his or her task.
When you scroll through a list (tasks, search results) on the phone it is quite useful to (a) gain insight into when you have reached the end of the list (because we do not know any pagination in JOIN Mobile) and (b) it is useful if you can quickly return to the top of the list.
We have come up with a solution for both problems. We will indicate this when you have reached the end of the list. And if you want to go back up quickly, click on the “back up” button that automatically appears when you start scrolling.
